WhatsApp for travel agencies: quotes without back-and-forth + closing in 24h
The default agency flow: client sends "do you have a package to Cancún?", the agent asks "how many people?", client replies 4 hours later with "4", agent asks "what month?", client replies the next day with "July". 30 messages in, they've already booked with another, faster agency. This post shows how to structure bot + travel agent to qualify a lead in 1 conversation (5 questions in 2 min), send a visual PDF/image quote, and close with a deposit via card or instant payment. Applies to B2C leisure, corporate, and niche tourism (luxury, adventure, religious).
The agency's core problem: quoting ping-pong
Customers decide to travel on an emotional impulse ("let's go to the beach?"). The closing window is short — 24-72h. Every hour of delay cuts the chance. Yet most agencies:
- Take 30 min to reply to the first message (agent is busy).
- Ask one thing at a time (client replies in hours).
- Send the quote as messy text.
- Don't follow up if the client goes silent.
Result: ridiculous 8-15% close rates. With a structured flow, that climbs to 25-40%.
The 5-question qualification flow (1 conversation)
The bot does initial triage in ~2 minutes. The 5 minimum questions to build a useful quote:
- Origin: "Departing from where? (city)"
- Destination + dates: "Where to and what month?"
- Who's traveling: "How many people? Adults / kids / ages?"
- Duration: "How many days?"
- Budget and style: "Investment range per person? Style (budget / comfort / luxury)?"
Best practices:
- One question per message (no bombarding).
- Direct tone, don't ask "how are you" — get to the point.
- Free-form answers, the bot interprets (no rigid menu).
- For larger groups, ask a 6th: "Is a direct flight important or are layovers OK to save?"
Sample conversation (bot)
Client: Hi, do you have packages to Cancún? Bot: Hi! We do. To pull options that work for you, help me with a few details: 1️⃣ Departing from which city? Client: New York Bot: 2️⃣ Cancún in what month? Client: July, the first 2 weeks Bot: 3️⃣ How many people? (adults/kids) Client: 4 adults Bot: 4️⃣ How many days? Bot: 7 days Bot: 5️⃣ Investment range per person and style? (budget / comfort / luxury) Client: up to $1,800 per person, comfort Bot: Got it: New York → Cancún, July (first half), 4 adults, 7 days, comfort, ~$1.8k/person. I'll put together 2-3 options and send them by 6pm today. Can you share your name?
How the agent delivers the quote (in <4h)
The agent gets the qualified lead in the panel. Within 4h:
- Build 2-3 options (budget / mid / premium) — never just one.
- Make a visual PDF (1 page per option): photo, prices, what's included, flights.
- Send the 3 PDFs on WhatsApp + a short summary message.
- Ask "which one caught your eye?" — force engagement.
Why 3 options: classic psychology. Without alternatives, the customer compares against another agency. With your alternatives, they choose among yours.
HSM template "quote ready"
Name: quote_ready
Category: UTILITY
Hi {{name}}! Your quote for {{destination}} is ready:
📎 Option 1: {{option_1_summary}}
📎 Option 2: {{option_2_summary}}
📎 Option 3: {{option_3_summary}}
PDFs in the next messages. Which one caught your eye?
(I can tweak any of them)
Automatic follow-up (the thing that closes deals)
Client doesn't reply in 24h? You have to come back. Typical sequence:
| When | Message |
|---|---|
| +24h after quote | "Hi {{name}}, did you get a chance to look at the options? Anything I can tweak?" |
| +72h | "Heads up, there's a promo to {{destination}} that ends tomorrow if you want to lock it in." |
| +7 days | "All good if not now! Want me to ping you if a special offer pops up?" |
| +30 days | "Hi! Thought of you — I have a {{new}} package that might fit. Want to see?" |
Closing + deposit
Client decides. Closing flow:
- Agent confirms the chosen option + sends the contract (PDF).
- Client signs (DocuSign / HelloSign link via WhatsApp).
- Bot/agent sends a payment link for the deposit (typically 30%).
- Payment confirmed via webhook → booking is made with the operator.
- Agent sends voucher + detailed itinerary.
Travel verticals where the playbook varies
Corporate (B2B)
- Different qualification: company, number of employees traveling, travel policy, cost center.
- Payment: invoiced, not deposit.
- Bot operates differently: integrates with Concur / TravelPerk if the company uses them.
- Tone: more formal, fewer emojis.
Luxury / high-value
- Bot only handles initial triage — agent jumps in quickly, it's a relationship sale.
- Real concierge, not automation. Bot schedules a 30-min call.
- Tone: exclusive, no promotion. "Your dream trip deserves dedicated attention."
Adventure / niche (backpacking, religious, etc.)
- Extra question: experience level, dietary/medical restrictions.
- Quote includes a technical brief (required gear, vaccinations, etc.).
- Bot can send a pre-trip checklist 30 days before (reminder + gear upsell).
Metrics that matter (weekly)
- Lead → quote sent: goal 85%+ (if it drops, the agent is too slow).
- Quote → close: goal 25-40% (depends on segment).
- Time to first quote: goal <4h.
- Average ticket: track vs previous quarter.
- Post-trip NPS: measure once the client is back from the trip.
System integration (when it pays off)
For agencies using Sabre, Amadeus, Galileo, or a tourism ERP: integrating via webhook is expensive but pays off in 6 months. Bot checks live availability → quote arrives in 5 min, not 4h. For small agencies, manual + spreadsheet works.
